Copying a Payroll Manager data file from one computer to another
1. Making a backup copy of the data file from the first computer
First ensure that you have the correct file open on the screen, then from the main menu in Payroll Manager, click ‘File‘ then ‘Utilities‘ then ‘Backup / Restore‘ and select the option to ‘Save backup‘.
Select the location where you wish to save the backup to – (for example a USB memory stick), and click ‘OK‘.
Payroll Manager will confirm that the backup was successful – click ‘OK‘.
2. Restoring the data file on the second computer
Make sure that the device that you used to store the backup (e.g. USB memory stick) is plugged in to the computer, then run the Payroll Manager software.
From the main menu in Payroll Manager, click ‘File‘ then ‘Utilities‘ then ‘Backup / Restore‘ and select the option to ‘Restore backup‘.
Browse to the location that contains the backup (e.g. USB memory stick), single-click to select the relevant file, and click ‘Restore’.
Payroll Manager will ask where you wish to restore the file and will automatically select the default location, normally a folder named ‘Payroll’ in your ‘Documents’ folder. Click ‘OK‘ to restore the file.
Payroll Manager will confirm that the file has been restored successfully. Click ‘OK‘.
The file will now be open on the screen. Click ‘Pay‘ then ‘Pay Details‘ to view the contents of the file.
Sending a backup copy of the file by email.
In some circumstances you may wish to send a backup copy of your data file by email (e.g. in order to transfer the file to a computer in a different office, at home etc.). To do this, follow the steps in Section 1 (above) – ‘Making a backup copy of the data file from the first computer’ but choose to save the file to the desktop of your computer, rather than to a USB memory stick.
When you view the backup copy of the data file the icon will normally be displayed as a ‘white P on a red square‘ (below). It is this file that you should attach to your email.
